Due Diligence
As part of the Alcohol Wholesaler Registration Scheme (AWRS), Tan&Ns Ltd. is required to conduct due diligence checks on both customers and suppliers involved in the supply chain for alcoholic drinks. Due diligence is essential for our business to minimize exposure to commercial risk, reduce the risk of being exposed to fraudulent transaction chains, and lower the likelihood of significant financial losses. Making due diligence an obligation for all businesses involved in alcohol helps drive fraudsters from the marketplace, increases consumer confidence in the sector, boosts legitimate businesses by restoring a level playing field, and helps maintain trust and reputation.
We carry out extensive due diligence checks following HMRC guidelines to assess potential risk within supply chains. We ensure we “know our customer and supplier.” Any customers or suppliers identified as high risk will undergo further questioning before we decide to trade with them. Due diligence will be reviewed monthly for high-risk customers/suppliers and annually for all others, with regular reviews to highlight any changes in activity so appropriate actions can be taken.
All customers and suppliers must provide the required list of documents and completed Customer Activation forms for Tan&Ns Ltd. to undertake a risk assessment before any account is opened. Tan&Ns Ltd. will only trade with customers or suppliers that have passed the assessment checks. Any customers or suppliers who don’t pass our internal checks will be notified that we are unable to open an account or trade. Businesses exhibiting suspicious behavior will be reported to HMRC in a timely manner.
Information submitted will be reviewed on a case-by-case basis, with the company director conducting final sign-off. All initial checks and subsequent reviews will be documented electronically in the customer or supplier file.
Reminders for checks will be logged into Google Calendar and Xero’s Notification Centre. Day-to-day checks will be performed to identify any potential transactions that may lead to fraud or involve goods on which duty may have been evaded. These checks apply to both supplier purchase orders and customer sales orders.
All sales are processed upon receipt of official purchase orders issued to orders@tanns.wine or your representative from customers. An invoice will then be generated via Xero and emailed directly to the customer with full details of the product and price. For first orders, we require payment upfront or upon delivery. Credit terms may be offered on subsequent orders, subject to relevant checks and discretion.
Sales Ordering
If any delivery is not received within the required timeframe, a query will be raised with the haulier immediately. Sale and Return orders will always be handled via your representative.
Availability
All goods are offered subject to availability.
Prices
All prices are Duty Paid and exclusive of VAT, which will be added at the prevailing rate. Prices are subject to market fluctuations, changes in duty rates, and exchange rates. We reserve the right to change prices without prior notice.
Orders & Delivery
- Minimum Order: To one delivery point only of 12 cases or equivalent.
- Edinburgh & Glasgow areas (M8–M9 corridor): Free delivery for all orders exceeding 24 bottles or £150.00 (excl. VAT). Orders valued at less than this will be subject to courier rates.
- Outside Edinburgh & Glasgow areas (M8–M9 corridor): 120 bottles for free delivery. Orders less than this will incur courier charges.
- Collection Allowance: There is a £0.60 per dozen collection allowance (75cl or equivalent) for goods collected from our warehouse in Glasgow, Scotland.
Data Protection
Data Protection Act 1998: To comply with the Data Protection Act 1998, we are required to inform you that we have recorded your name and address in our system. This information may also be used for debt tracing and to search, link, record, and request information from credit reference agencies, banks, and other financial organizations, and for the purpose of replying to trade reference inquiries. Please inform us if you object to us keeping this information.
Our Financiers
- We may transfer information about you to our financiers, who:
- May use, analyze, and assess information about you, including the nature of your transactions, and exchange such information with other members of their group of companies and others for credit or financial assessments, market research, statistical analysis, insurance claims, underwriting, and training purposes, and to facilitate payments and service their agreement with us.
- From time to time, may make searches of your record at credit reference agencies. Your record with these agencies may include searches made and information given by other businesses. Details of these searches will be kept by the agencies but will not be visible to other organizations.
- May provide information about you and your indebtedness to:
- Our or their insurers for underwriting and claims purposes.
- Any guarantor or indemnifier of your or our obligations to assess those obligations.
- Their bankers or any advisers acting on their behalf.
- Any business to which your indebtedness or our arrangements with our financiers may be transferred, to facilitate such a transfer.
- May monitor and/or record any phone calls you have with them for training and/or security purposes.
- In the event that they transfer any of their rights and obligations under their agreement with us to a third party, they may transfer information about you to enable the third party to enforce their rights or comply with obligations.
- We will provide you with details of our financiers on request, including a contact number if you want to know the credit reference agencies and other third parties we refer to. You also have the right to receive a copy of certain information held about you by applying to them in writing, though a fee will be payable.
New Accounts
To open a credit account, a credit check will be carried out. We require two satisfactory trade references and one banker’s reference. Until those references have been obtained, goods will only be dispatched upon settlement of a pro forma invoice.
